Missing Data Elements Error

Missing Data Elements in the Client Profile Tab

  • Date of Birth (DOB)
  • SSN
  • Race
  • Ethnicity
  • Gender
  • Veteran Status
  • Tribal Membership

If any of the above data elements are displayed as " Missing," follow these steps to respond to the missing data element.

  1. Enter EDA mode to the correct project provider.
  2. Search for and enter the client record.
    1. Backdate to the Project Start Date of the client’s first enrollment in your program. IMPORTANT! You can’t miss this step or it will not resolve the issue.
  3. Navigate to the Client Profile tab.
  4. Click the edit pencil next to Client Record or Client Demographics, depending on which data element is missing.
  5. Respond to missing data element(s).
  6. Click Save & Exit.

Missing Data Elements In Entry/Exit Records

  • Relationship to Head of Household
  • Does client have a disability of long duration?
  • Veteran Question Series
  • Domestic Violence 
  • Extent of Homelessness by Minnesota’s Definition
  • Recent Institutional History (leave any of these...)
  • 3.917 Prior Living Situation
  • Prior Permanent Residence Series
  • Client Location
  • County where resides

The above data elements need to have an answer value saved effective as of Project Start Date for every Entry/Exit in a client’s record. If a value is simply missing as of the client’s Project Start Date, follow these steps to respond to the missing data element(s).

  1. Enter EDA mode to the correct project provider.
  2. Search for and enter the client record (Note: You do not need to be in back date mode when editing an Entry/Exit record).
  3. In the Entry/Exit tab, click on the edit pencil to the left of the Project Start Date to open the Entry Assessment.
  4. Click on Save & Continue in the first pop-up.
  5. Respond to the missing data element(s).
  6. Click on Save & Exit.

3.917 Series – Prior Living Situation

The most common error is that an answer is missing or recorded as Client refused or Client doesn’t know. To fix this error, review the data in the client record for accuracy and follow the steps outlined above for responding to missing data elements in Entry/Exit records. If all answers within the series are correct but the report is still showing an error, please contact the Helpdesk.
