Enrollment CoC Errors

If you’ve checked the client record and the Enrollment CoC has been answered, then this error is most likely the result of the Enrollment CoC and the CoC Code for the provider not matching  OR the answer value having a later Effective Date than the client’s Project Start Date.

Effective Date Issue

To determine if the Enrollment CoC needs to be added as of a project entry’s Start Date, follow these steps to make sure there is a value effective as of the Project Start Date.

  1. Enter EDA mode to the correct project provider.
  2. Search for and enter the client record. (Note: You do not need to be in back date mode when editing an Entry/Exit record)
  3. In the Entry/Exit tab, click on the edit pencil to the left of the Project Start Date to open the Entry Assessment.
  4. Click on Save & Continue in the first pop-up.
  5. Once you're in the Entry Assessment window, scroll down to respond to the Enrollment CoC data element.
  6. Click on Save & Exit.

Enrollment CoC and CoC Code Mismatch

To determine if the Enrollment CoC and the assigned CoC code for the HMIS provider do not match, please follow these steps.

  1. Enter EDA mode to the correct project provider.
  2. Search for and enter the client record. (Note: You do not need to be in back date mode when editing an Entry/Exit record)
  3. In the Entry/Exit tab, click on the edit pencil to the left of the Project Start Date to open the Entry Assessment.
  4. Click on Save & Continue in the first pop-up.
  5. Once you're in the Entry/Exit Data window, take note of the provider's name and which CoC Code is assigned to your provider:
  6. The highlighted "HCC" is the provider's assigned CoC Code.
  7. Next, scroll down to review the accuracy of the Enrollment CoC data element.
    1. If the Enrollment CoC is inaccurate, select the correct answer, then click on Save & Exit.
    2. If the Enrollment CoC is accurate and you’re using the correct provider, please contact the Helpdesk.
