Purpose: What is this report used for?

The HCC-00-SAG-199 - ASC Reservation Summary Report report summarizes and displays detail on reservations made for shelter within the Hennepin County single adult shelter system.  


Audience: Who should run this report?

Shelter system staff and system planners should run this report to understand the volume and composition of reservations for shelter in the single adult system, and whether those reservations are claimed or unclaimed. It refers to a workflow specific to the Hennepin single adult shelter system, so users outside that system should not use this report. 

Note: A user's account settings and other visibility settings can affect what data the user will see when running a BusinessObjects report. For more information, please refer to the article Visibility Settings and Their Impact on BusinessObjects Reports.


Location: Where can I find this report?

In the BusinessObjects (BO) reporting tool, open these folders in order:

Public Folder => minnesota_live_folder => SSA Report Gallery => 5. Agency-Level => ASC - Adult Shelter Connect


Prompts: How do I run this report?

  • Select Provider(s): For the most accurate report results, do not change the default value in this prompt. 
  • Select Reporting Group(s): The Hennepin Single Adult Shelter Reporting Group is selected in this prompt by default. For the most accurate report results, leave as is. 
  • Enter Effective Date: Choose the date the day after the last day of the report period (for example, to see data through March 31, choose 4/1.) This should match the date selected in the End Date prompt. 
  • EDA Provider: Do not change the default value -Default Provider-
  • Enter Start Date: Choose the first day of the report period. 
  • Enter End Date (PLUS 1 Day): Choose the date the day after the last day of the report period (for example, to see data through March 31, choose 4/1.) This should match the date selected in the Effective Date prompt. 

In-Depth: How does the report work?

Below is an overview of each tab of the report and the data contained within. 

Summary

This tab displays summary counts for reservations made and client records created within the single adult shelter system.

  • Reservations: this table counts unique clients who had reservations in the report period, and counts those where the reservation was made by Adult Shelter Connect. 
  • Client Record Creation: this table counts client records that were created by the Adult Shelter Connect (row 1), and then counts where those client records had no shelter reservation made (row 2), where those records had at least one shelter reservation made (row 3), and where those records had at least one shelter reservation made but no reservation was claimed (row 4). 
  • Table A. All Reservations: this table counts all reservations, regardless of the provider creating. Reservations are broken out by the shelter they were for, whether they were claimed or not claimed, and if not claimed, the reason. An unclaimed reservation is one where the "Need Reason Unmet" is not null and is not "ASC - Checked In".  A claimed reservation is one with no "Need Reason Unmet" or where the "Need Reason Unmet" is "ASC - Checked In". 
  • Table B. ASC Made Reservations: this table counts all reservations where the "Need Provider Creating" is the Adult Shelter Connect. Reservations are broken out by the shelter they were for, whether they were claimed or not claimed, and if not claimed, the reason. An unclaimed reservation is one where the "Need Reason Unmet" is not null and is not "ASC - Checked In".  A claimed reservation is one with no "Need Reason Unmet" or where the "Need Reason Unmet" is "ASC - Checked In". 
  • Table C. Shelter Made Reservations: this table counts all reservations where the "Need Provider Creating" is not the Adult Shelter Connect. Reservations are broken out by the shelter they were for, whether they were claimed or not claimed, and if not claimed, the reason. An unclaimed reservation is one where the "Need Reason Unmet" is not null and is not "ASC - Checked In".  A claimed reservation is one with no "Need Reason Unmet" or where the "Need Reason Unmet" is "ASC - Checked In". 

Demographics 

This tab displays summary counts of demographic characteristics for clients with reservations in the single adult shelter system in the report period. Each table counts unique clients regardless of where their shelter reservations were created, and counts only clients with at least one shelter reservation created by the Adult Shelter Connect. 

Client Detail 

This tab displays client-level detail for all clients with reservations in the period, and detail on those reservations. If a client has multiple Client IDs, they will appear on this tab more than once, and their counts will not be accurate.
