PATH Annual Report

Overview

This guide provides instructions to users on how to generate the 2024 HUD-defined Projects for Assistance in Transition from Homelessness (PATH) Annual report in ClientTrack. This report should be utilized by users who have PATH-funded projects.


This article includes instructions for running this report to generate a CSV export to upload to the PATH Data Export (PDX) and instructions for running this report to check client level Data Quality details.

More About This

Report Processing Time

CSV Exports, including the CSV PATH Annual report, are generated through the Asynchronous Worker tool provided by Eccovia. The Asynchronous Worker tool queues report requests and runs them when system availability permits, generally resulting in reports taking longer to run than in the previous HMIS software. For this reason, ICA asks that agencies use this and other CSV Exports only when necessary and encourages agencies to plan to run CSV Exports well before they are due.

User Access to Download PATH Annual Report

In order to download the completed PATH Annual Report in a format that will be accepted by PDX, you must have been granted Files on Server access. If, when you go to the Reports Workspace, you cannot see Files on Server or it is grayed out, please contact the helpdesk so that it can be turned on for you.

Security/Encryption Prompts

All CSV Exports are defaulted to prompt users for an encryption password. In order to upload the PATH Annual report to PDX, the report must not be encrypted. This article includes instructions for opting-out of encrypting the report when scheduling the export to run.

Before beginning, ensure you have selected the correct workgroup and organization within your user settings.

Running the 2024 PATH Annual Report to upload to the PATH Data Export (PDX)

Report Location: Reports Workspace > HMIS Reports > PATH Annual Report (2024)

Prompt Guide: Use this guide to determine how to set the prompts for the report:

Section Instructions
Saved Report Settings Optional: Create or used a saved report setting if you desire.
Date Range Set the date range for your report here. You may use the Date Range List, or you can just enter the dates directly into the date fields.
Organization Ensure the proper organization(s) is/are selected. By default, the system will select only the organization to which you are logged in.
PATH Grant(s) Do NOT use this prompt. In the future this prompt may be used but it is not currently working as intended.
PATH Program(s) Required: Check "Filter by Program(s)" and select the applicable project(s) in the list.

Once the prompts are complete, Click Run Export in the lower right-hand corner. A popup named Export Encryption will appear (see below). Unless you specifically want an encrypted export, uncheck Encrypt Export, then check I assume the full responsibility of ensuring the security of the exported file(s) and any data contained within and click DoneNote: An encrypted export cannot be uploaded to PDX.

The report will automatically be added to the end of the queue and you will be able to download the files from Files on Server once they have finished running.


Running the 2024 PATH Annual Report for Data Quality

You can use the PATH Annual report to get client level details (HUD Universal and PATH specific data elements). Before beginning, ensure you have selected the correct workgroup and organization within your user settings:

  1. Go to the Reports Workspace and select the HMIS Reports folder to find the PATH Annual Report (2024):

  2. When the report opens, choose the date you want for the report and scroll down to the PATH Program(s) section.
  3. Select the PATH programs and then click the blue Report button:

  4. The report will run and open when it is complete. To see the client-level details, click on the underlined section headed titled Questions 8 - 16: Persons served:

  5. That opens a new window with client details. Go to the disc icon and select Excel Data to get an Excel document with client detail data:

  6. Choose Export as XLSX:

Note: This report contains client names. Do not email this report or store it in an unsecure location.
