03. Enrollment: Housing Move-In Date

This article will explain how to record a Housing Move-in Date (HMID) for a client within the program enrollment workflow in ClientTrack.

More About This

The following project types are required to record a Housing Move-in Date for the head of household only, on the date the client moves into housing

  • Permanent Supportive Housing (PSH) 
  • PH – Housing Only 
  • PH – Housing with Services 
  • Rapid Re-Housing (RRH) 

When a client or household moves-in to any type of permanent housing, regardless of funding source or whether the project is providing the rental assistance, you must enter the Housing Move-In Date in HMIS, even if that date is the same as the Project Start Date.

Other HMID Considerations

Recording a correct Housing Move-In Date is vital to accurately reporting point-in-time (PIT) and housing inventory counts (HIC). This is because the data element helps us distinguish between households who have already moved into Permanent Housing from households who are enrolled in (or "accepted into") a Permanent Housing project, but who are still homeless as they prepare to move into an available unit. 

Clients who are receiving pre-housing services through a Permanent Housing project, but who ultimately do not move-in, should be exited from the PH project to the appropriate destination with Housing Move-In Date entered.

Details

The Housing Move-in Date field is located the Household section on the Program Enrollment form:

  1. Scroll down to find the Household section of the page, and use the horizontal scroll bar to scroll all the way to the right to find the Housing Move-in Date column:

  1. Write in or use the calendar icon to complete the Housing Move-in Date field for the head of household:

  1. Click the Save button to move to the next page of the workflow, where you will complete the Universal Data Assessment for your client.


Recording HMID After Enrollment

  1. Navigate to the head of household's client record.
  2. On the Client Dashboard, in the client's Enrollments section, click on action button to the left of the enrollment for which you need to record a Housing Move-in Date:

  1. In the action button menu, select Edit Project Entry Workflow:

  1. Click through the screens in the workflow until you get to the Program Enrollment form:

  1. Scroll down to find the Household section of the page, and use the horizontal scroll bar to scroll all the way to the right to find the Housing Move-in Date column.
  2. Write in or use the calendar icon to complete the Housing Move-in Date field for the head of household:

  1. Click the Save button to move to the next page of the workflow if applicable.
  2. Once you have finished the Intake and Enrollment workflow for the client, you will be returned to the Client Dashboard where the Housing Move-in Date will appear on the enrollment for the project.
