Creating a Bar for a Client

What this is

This article explains how to create a bar for a client who is not allowed to access a specific program, facility, or service. One common use of bars is to prevent a client from accessing an emergency shelter when they are not permitted to stay there.

What you need to know

  • Every bar must include:
    • A Begin Date
    • An End Date, unless the bar is permanent
    • The program, facility, or service the client is barred from
    • One or more enforcing organizations
  • Additional details, like the reason why a bar was created, can be included as appropriate.
  • Bars are visible to all selected enforcing organizations and to members of the Shelter Reservation Team workgroup.
  • While active, a bar will prevent certain actions from being performed.
  • When a client is barred from a program for which they have an active enrollment, they should be exited from the program as of the bar's Begin Date.

What happens when a client has an active bar?

Always read a bar's details. If something looks wrong or outdated, check with your supervisor before making changes.

When a client has an active bar - one whose End Date is still in the future - you will be unable to perform certain actions:

  • A client barred from a program cannot be enrolled in that program.
  • A client barred from a facility cannot be checked into that facility. They also cannot be given a reservation for that facility.
  • A client barred from receiving a service cannot have a copy of that service saved in their record.
An error message will appear when a client has an active bar.

How to create a client bar

  1. Open the Bar List

    From the left menu:

    1. Go to the Clients workspace
    2. Open Enrollments and Services
    3. Select Bar List

      Create a new bar

      Click on the Add New button, then fill out the Client Bar form as described below:

    • Begin Date: Enter the date the bar went into effect
    • End Date: Enter the date the bar will expire, unless the bar is permanent
    • Service: Select the specific service the client is barred from or check the Bar from All Services box
    • Facility: Select the specific facility the client is barred from or check the Bar from All Facilities box
    • Program: Select the specific program the client is barred from or check the Bar from All Programs box

Use the "Bar from All" options with care. Barring a client from all services, facilities, or programs could unintentionally prevent them from accessing resources they should be able to. When a client should be prohibited from accessing multiple services, facilities, or programs, it is recommended that a bar be created for each individual item instead.

    • Enforcing Organizations: Select the organizations that should enforce the bar. The required value should be pre-selected based on your user account’s settings, but additional organizations can selected if necessary
    • Reason(s): Optionally, you can select one or more reasons for why the bar is being created
    • Notes: Optionally, you can enter notes about the bar
  1. Click on Save when finished.
