Hennepin County: Re-reserving a shelter bed for a returning client

This article is for Hennepin County shelters that use the Facilities Workspace in HMIS. It explains how to re-reserve a bed for a shelter guest who plans to return the next night.

By following this workflow during morning checkout, you’ll create a new reservation and "need" for the returning client.

What you need to know

  • To get a roster of clients who stayed in shelter last night for whom you can create a new reservation, change the date on the Current Resident’s form to the previous day.
  • Re-reserving a bed using this workflow will automatically create a need and mark it “reserved”.

Follow these steps

  1. Go to the Current Residents screen.
  2. Update the date to the previous day to view clients who stayed overnight.

  • Check the client's reservation status to make sure they can be re-reserved.
    • Reservation status definitions:
      • Review Reservation Status column​
      • Blank: Client can re-reserve​
      • Reserved “Date”: Client already has a reservation​
      • Needs Diversion Screening: Client needs to call HSH before receiving a new reservation. Don’t re-reserve.
  1. Find the client that is re-reserving a shelter bed on the list.
  2. Select the Action button next to the client’s name.
  3. Choose Add New Reservation.
  4. Review the Housing Reservation form.
  5. Make sure to select the client’s active project enrollment.
  6. Click Save.

When you are done

The client’s reservation status should now read “Reserved for Date ##/##/####".

You’ve successfully created a housing reservation for a returning client.
