What is the difference between case manger and enroller?

Not sure what the difference is between a Case Manager and an Enroller? Or what to do if no case manager type is selected? This guide explains what each type means, how to use the Case Manager Type field, and when to update it.

Types of Case Managers

In HMIS, there are three possible case manager types:

  • Enroller
  • Case Manager
  • None / No Value Selected

The Case Manager Type field on the Case Manager Assignment form helps tell the difference between someone who just added the client to the system (Enroller) and someone who is actively helping the client with housing (Case Manager).

What is an Enroller?

An Enroller is someone who creates the client’s enrollment. They could be:

  • A data entry staff member
  • Someone handling shelter reservations
  • Or a staff member who works with the client, but doesn’t provide case management

Keep in mind: An Enroller may not be in contact with the client, so they might not be the best person to reach out to.

What is a Case Manager?

A Case Manager is the person who is actively working with the client on housing. They:

  • Are in regular contact with the client
  • Help the client reach housing goals
  • Are usually the best contact for follow-ups or services

Changing Enroller to Case Manager

Sometimes, a case manager is working with the client before they’re officially enrolled in a case management project. If that’s the case:

  1. Go to Case Manager in the Profile section on the Client Dashboard.
  2. Click the Edit button
  3. Change the Case Manager Type from Enroller (or blank) to Case Manager
  4. Then click Save button.

Other things you should know

  • A user can only have one active case manager type at a time.
  • You might not see all their enrollments listed as separate rows.
  • To see more details, hover over the “?” icon under Associated Enrollments to view their other active enrollments.
