How to run the check-in roster report

What this is

This article shows you how to review clients who are checked into a shelter by running the Check-in Roster Report for today or for a past date.

What you need to know

  • You must be in the Emergency Shelter Users workgroup.
  • You must have access to the Facilities workspace in HMIS.
  • The Check-in Roster Report shows all clients checked in on the date you select, including past dates.

How to run the check-in roster report

  1. Go to the Facilities workspace.
  2. Click View Facilities.
  3. Click the Shelter you want to view who is checked in at.
  4. Click on the Facility Dashboard to confirm the correct shelter is selected.
  1. click on the Check-in Roster Report from the Facility Reports folder.

  1. Enter the Date you want to review:
    • For today’s roster, choose today’s date.
    • For a past roster, choose the date you want to view.
    • The Housing Facility will auto-fill based on the shelter you selected under View Facilities.
  2. Click Report to run the Check-in Roster Report.


  1. A notification will appear to confirm the report is running.  

  1. The report will open when it is ready. Use the expand buttons to view the list of clients checked into the shelter on the selected date.
    • You will be able to see:
      • Client name
      • Demographics
      • Room/bed assignment


How to printing the Check-in roster Report


  1. Select the disc icon.
  2. Choose Excel.
  3. The report will download to your browser’s default download folder.

When you are done

  • You can print or download the roster for your records.
  • If you need to review a different date, return to the report prompts and select a new date.
